Payment & Insurance
Q: Do you accept insurance?
A: I accept Aetna insurance plans through Headway, a third-party platform that helps manage billing and eligibility. If you’d like to use your Aetna benefits, I’ll send you a secure link to get started through Headway.
Q: What is Headway and how do I use it?
A: Headway is a trusted platform that partners with therapists to handle insurance billing. When you schedule with me and request to use Aetna, I’ll send you a link to create a Headway account, verify your benefits, and manage copays or deductible details directly through them.
Q: Do you offer a self-pay option?
A: Yes! Many clients choose self-pay for greater privacy and flexibility. My current rate for individual therapy is $165 per 50-55 minute session.
Q: Can I use my HSA/FSA card?
A: Yes! You can use Health Savings Accounts (HSA) or Flexible Spending Accounts (FSA) to pay for self-pay sessions. You’ll receive a receipt that you can use for your records or reimbursements.
Cancellations & Rescheduling
Q: What’s your cancellation policy?
A: To honor both our time, I require at least 24 hours' notice for cancellations or rescheduling. Sessions canceled with less than 24 hours' notice — or missed without notice — will incur a late cancellation fee.
Q: What if I have to cancel last minute due to an emergency or illness?
A: I understand that unexpected things happen. While the late cancellation fee typically applies, I make reasonable exceptions for true emergencies or sudden illness — especially for clients who communicate promptly and respectfully.
Q: What is the late cancellation or no-show fee?
A: For self-pay clients, the full session fee of $165 will be charged for late cancellations or no-shows.
For Headway (Aetna) clients, the standard out-of-pocket no-show fee is $125, as insurance does not cover missed sessions.
Q: How do I cancel or reschedule an appointment?
A: You can cancel or reschedule via your client portal link, or by emailing me directly at info@therapywithcrystal.com. Please aim to do so at least 24 hours in advance.
